  • What is the format of CIBTM?

    CIBTM takes place over 3 days.

    The Hosted Buyer Ice Breaker takes place in the evening of Monday 30 August 2010.

    From Tuesday 31 Aug - Thursday 2 Sept. the CIBTM business and social networking programs of Pre-Scheduled Appointments, official CIBTM Welcome Reception and Gala Evening take place.

  • How do I qualify as a CIBTM Hosted Buyer?

    a) Apply online using the link and code provided by your Group Coordinator or through the online registration form which will be available on www.cibtm.com

    b) Complete the Hosted Buyer registration form fully; have your credit card details to hand.

    c) List past and future International events. Please detail international events (esp. the events you held or plan to have in China/Asia region) as this makes the qualification process quicker.

    d) The completed registration will be assessed against the CIBTM qualification criteria (see below).

  • What is the Qualifying Criteria?

    Buyers must fulfill the qualifying criteria set by CIBTM. This includes:

    • The number and type of international events held annually
    • Purchasing authority
    • Annual budgets
    • Level of responsibility
    • Potential for future international business, especially in China and the wider region of Asia

     

     


  • How can I register to attend the CIBTM Hosted Buyer Programme?

    As part of a Group 

    CIBTM works with hotel chains, trade publications and agencies that select and invite buyers on behalf of CIBTM

    If you have been invited to attend as part of a group, you will need to obtain the Group Code from your Group Coordinator, and register via the web link or on the Hosted Buyer pages. Choose “Group registration” in Registration Type page and then proceed the Group Code.

    As an Individual Hosted Buyer

    Visit the ‘Hosted Buyer’ registration page, and register through the link.

    Select to register as an ‘Individual Hosted Buyer’ in Registration Type page.

     

  • What is included in the Hosted Buyer Programme?

    • Return economy flights from selected Chinese, Asia Pacific, European and North American airports.
    • Please note that return flights will only be booked to/from the same airport.
    • Accommodation for between 2 and 4 nights in a 4/5 star hotel in Beijing.
    • The number of nights offered will depend on your flights and attendance rotation.
    • Coach transfers in Beijing between airport, hotel and CIBTM (China National Convention Centre)
    • Admission to CIBTM and official CIBTM networking events
    • Refreshments in exclusive Hosted Buyer lounge
    • Pre-Scheduled Appointments with exhibitors of Hosted Buyer’s choice
    • Online Diary facility for scheduling additional meetings
    • Admission to CIBTM Professional Educational Programme
  • What is not included in the Hosted Buyer Programme?

    • Travel insurance
    • Private transfers
    • All food and beverage outside of the official functions
    • Flight upgrades
    • Hotel upgrades
    • Additional nights’ accommodation
    • Personal extras
    • Visa costs (* Invitation letter would be provided by CIBTM)
  • What am I committed to as a Hosted Buyer?

    Qualified Hosted Buyers are committed to attend the following:

    • A minimum of eight (8) Pre-Scheduled Appointments (PSAs) with Exhibitors of choice per day of attendance at CIBTM
    • Evening functions as listed in your personal itinerary
  • What is a Pre-Scheduled Appointment (PSA) and how are my appointments made?

    A Pre-Scheduled Appointment is a one to one appointment between a buyer and an exhibitor, arranged prior to your actual visit to the show. Each PSA lasts approx 20 minutes. The CIBTM Pre-Scheduled Appointment System will enable buyers to set up these appointments with exhibitors of their choice prior to the event.


  • How do I select me Pre-Scheduled Appointments?

    Qualified Hosted Buyers will be given a unique Access Code to login to the ‘Hosted Buyer Zone’ on the CIBTM website.

    Once logged into the Hosted Buyer Zone, click the ‘PSA Selection’ link to start booking your appointments. Once in the Exhibitor search and list page, simply select the Exhibitor you wish to see and choose an available timeslot according to your attendance schedule. You can search alphabetically by the exhibitor name or category.

  • How can I view my travel and accommodation details?

    Qualified Hosted Buyers will be given an Access Code to login to the ‘Hosted Buyer Zone’ on the CIBTM website. Once logged in (to the zone), you will have the option to ‘view your flights and accommodation’.

    NB: Only confirmed travel and accommodation details will be available in the Hosted Buyer Zone. For some hosted buyers all the details may not appear until a few weeks before the show.

  • My Access Code for the Hosted Buyer Zone is not working, what should I do?

    Copy and paste the Access Code from your qualification email, directly into the login box. If you are still unable to access the site, please contact us by email cibtm-hosted@reedexpo.co.uk (Non Chinese Buyers) or cibtm@reedexpo.com.cn (Chinese Buyers).

    If you are travelling as part of a group, you may also contact your Group Coordinator. Your Group Coordinator can obtain this code from their CIBTM Account Manager.


  • What is my schedule at CIBTM?

    Log in to the Hosted Buyer Zone on www.cibtm.com with your unique Access Code to view your full itinerary. This will include your travel details and your personal appointment diary.

  • What should I do if I need to change my travel and/or accommodation arrangments?

    If you are travelling as part of a group, contact your Group Coordinator with your request.
    If you are travelling as an Individual Buyer, contact the CIBTM Hosted Buyer Team on cibtm-hosted@reedexpo.co.uk (Non Chinese Buyers) or cibtmhb@reedexpo.com.cn (Chinese Buyers).
    Note: Changes to flights or accommodation are subject to availability and buyers are responsible for any extra costs incurred.

  • What class is my flight and can I upgrade?

    Any flights booked for you by CIBTM will be an Economy flight. The upgrade would be at your own expense. You may contact the CIBTM Hosted Buyer Team on cibtm-hosted@reedexpo.co.uk (Non Chinese Buyers) or cibtmhb@reedexpo.com.cn (Chinese Buyers) to check the cost.

     


  • When will I receive my flight tickets?

    E-tickets will be issued by email approximately two weeks prior to the show. Please be aware, the E-Ticket reference is often called a “LOCATOR”. On arrival at the airport present your passport/Photo ID (as appropriate) and E-ticket reference to check-in.

  • Which hotel will I be staying and can I change the hotel?

    Your hotel information could be collected in your Hosted Buyer Zone. CIBTM allocates hotels on a rotational basis and you are not able to change it. - i.e. if you attended CIBTM last year, we will try and allocate a different hotel to the one you stayed in previously.

  • What do I do if I need extra accommodation outside of these nights?

    The extra nights’ accommodation in Beijing would be at your own expense. You may contact our official DMC - China Star Professional at cibtmbooking@professional.com.cn for assistance.

  • When will I receive my badge?

    Your badge can be collected at your hotel once you have checked in.

    For a Beijing based buyer, you can collect your badge from the Registration desk on arrival at CIBTM.

  • What do I do if I need to cancel my attendance?

    You must provide written notice (by email to cibtm-hosted@reedexpo.co.uk (Non-Chinese buyers) or cibtmhb@reedexpo.com.cn (Chinese buyers) prior to the cancellation deadline of 30th July 2010. Your cancellation will not be effective until you have received a written acknowledgement from CIBTM. Cancellations after this date will incur a cancellation fee.

  • Is there a cancellation fee?

    Cancellations received on or before 30th July 2010 do not incur a fee. Cancellations received after 30th July 2010 will incur a fee of 1200 US Dollars for International (Europe, North America) Hosted Buyers, 1000 US Dollars for Asia Pacific Hosted Buyers and 200 US Dollars for Chinese (Non Beijing) Hosted Buyers.


  • What happens if I can't make it to the show at the last minute?

    If you are unable to attend CIBTM please advise us in writing prior to close of business on Friday 27th August 2010 of your cancellation (note you may incur cancellation fees).
    If you do not advise us in writing you will be classed as a “No Show” and will incur
    a fee of 1500 US Dollars for International (Europe, North America) Hosted Buyers, 1100 US Dollars for Asia Pacific Hosted Buyers, 500 US Dollars for Chinese (Non Beijing) Hosted Buyers and 300 CNY for Beijing Buyers.

    Please inform CIBTM in writing by emailing cibtm-hosted@reedexpo.co.uk (Non Chinese Buyers) or cibtmhb@reedexpo.com.cn (Chinese Buyers) as soon as possible.

  • What if I miss an appointment?

    Please visit that exhibitor at the earliest opportunity to arrange another time for the appointment.

  • What are "No Show" fees?

    A “No Show" is defined as a Hosted Buyer who - without giving prior written notice of cancellation by close of business on Friday 27th August 2010 or does not complete appointment requirements - is not present for the Hosted Buyer activities at CIBTM 2010.

    The “No Show” fee is 1500 US Dollars for International (Europe, North America) Hosted Buyers, 1100 US Dollars for Asia Pacific Hosted Buyers, 500 US Dollars for Chinese (Non Beijing) Hosted Buyers and 100 Euros for Beijing Buyers.

    Charges will be debited from the credit card details provided at registration.

  • Who do I contact if I have any problems or queries in the run up to the show?

    If you are travelling as part of a group, you should contact the Group Coordinator who invited you.

    If you are travelling as an Individual Buyer, then please contact the Hosted Buyer Team at cibtm-hosted@reedexpo.co.uk (Non Chinese Buyers) or cibtmhb@reedexpo.com.cn (Chinese Buyers).  They will be happy to assist.


  • How do I get to CIBTM from the airport?

    If you arrive in Beijing during show time, you will either be transferred directly to the exhibition venue or to your hotel. Please make sure you look for the ‘CIBTM Hosted Buyer’ signage and CIBTM staff.


  • How do I contact the Hosted Buyer Team once they are on-site?

    The Hosted Buyer Team can be reached by email and by telephone. During show times please visit the Hosted Buyer Lounge.

  • Are there any fees?

    Should cancellation and “No Show” charges apply they will be debited from the credit card details you supplied during registration. No other charges for cancellation, travel changes or no show will be made against a valid credit card without prior notification.


  • Why do you need my credit card details?

    All applicants for the CIBTM Hosted Buyer Programme are required to supply valid credit card details as part of the application. 
    CIBTM also require a small fee (€5) to validate your credit card, a receipt for this fee of €5 will be provided for you to print off.
    This fee is non-refundable.

    Should cancellation and “No Show” charges apply they will be debited from the credit card details you supply.

    Credit card details are also required for the purposes of charging for any additional costs for travel changes requested by you. You will be notified of these charges prior to any monies being taken and a receipt will be provided.
