  • What is the format of ibtm china?

    ibtm china 2017 takes place over 2 days.

    The Hosted Buyer Ice Breaker takes place in the evening of Tuesday 22nd August 2017. From Wednesday 23rd - Thursday 24th August the ibtm china business and social networking programs of Pre-Scheduled Appointments, official ibtm china Welcome Reception take place.

  • How do I qualify as a ibtm china Hosted Buyer?

    a) Apply online using the link and code provided by your Group Coordinator or through the online registration form which will be available on www.cibtm.com

    b) Complete the Hosted Buyer registration form fully; have your credit card details to hand.

    c) List past and future International events. Please detail international events (esp. the events you held or plan to have in China/Asia region) as this makes the qualification process quicker.

    d) The completed registration will be assessed against the ibtm china qualification criteria (see below).

  • How can I register to attend the ibtm china Hosted Buyer Programme?

    To apply for the Hosted Buyer Program you must complete the online application which will be available on our website www.cibtm.com  in early April 2017. Should you wish to receive further information, please contact the Hosted Buyer Team at cibtmhb@reedexpo.com.cn

  • What are the Qualifying Criteria?

    Buyers must fulfill the qualifying criteria set by ibtm china. This includes:

    • The number and type of international events held annually
    • Purchasing authority
    • Annual budgets
    • Level of responsibility
    • Potential for future international business, especially in China and the wider region of Asia
  • What happens after I submit my online application?

    Once your application is complete, it will be reviewed by our "Hosted Buyer team". The information provided will be cross-checked, and in many cases you will be contacted by phone for further verification. You will then be notified via email whether your application was successful. Please add cibtmhb@reedexpo.com.cn to your list of accepted senders. Please note that the qualification process can take several weeks.

  • What is included in the Hosted Buyer Programme?

    • Return flights from selected destinations (for Fully Hosted Buyers only)
    • Accommodation in a 4/5 star quality hotel for three (3) or four (4) nights for Hosted Buyers residing outside of Beijing
    • Pre-Scheduled Appointments with exhibitors of Hosted Buyer’s choice
    • Admission to ibtm china and official ibtm china networking events
    • Coach transfers in Beijing between airport, hotel and CNCC (China National Convention Centre)
    • Admission to ibtm china Professional Educational Programme
  • What is not included in the Hosted Buyer Programme?

    • Travel insurance
    • Private transfers All food and beverage outside of the official functions
    • Flight upgrades
    • Hotel upgrades
    • Additional nights’ accommodation
    • Personal extras Visa costs (* Invitation letter would be provided by ibtm china)
  • What am i committed to as a Hosted Buyer?

    •  A minimum of twelve (12) Pre-Scheduled Appointments (PSAs) with Exhibitors of choice and 1 Destination Presentation per day of attendance at ibtm china
    • Evening functions as listed in your personal itinerary
  • What is a Pre-Scheduled Appointment (PSA) and how are my appointments made?

    A PSA is a one-to-one appointment between a buyer and an exhibitor that is scheduled in advance of the show. To make these appointments, you will be given access to the "Hosted Buyer Zone" which is an online portal used to manage your schedule during ibtm china. About 10 weeks before the show, Hosted Buyers will log on and choose 40 "Appointment Preferences" of exhibitors they wish to meet with during the show. Those preferences will be automatically matched by our system software against exhibitor preferences (a "Mutual Match" as priority) to create a personalized itinerary for your 24 appointments.

  • What is a Self-Scheduled Appointment (SSA) and how are these appointments made?

    After our software system creates the “ mutual Match" of your preferences and exhibitor preferences, there may be a few open slots for you to make additional appointments in order to achieve the required 24 appointments. After the PSA Match, you can look at your schedule on the Hosted Buyer Zone and determine if you need to make more appointments. If yes, then you can see which exhibitors have openings and you can schedule a "self-selected appointment" with them.  

  • What happens if i miss an appointment?

    Per our Terms and Conditions, all Pre-scheduled and Self-Scheduled appointments must be honored. Please visit that exhibitor at the earliest opportunity to arrange another time for the appointment.

  • How is travel and accommodation booked?

    Once qualified, your travel and accommodations will be booked by our travel agency partner.

  • How can I view my travel and accommodation details?

    Once your travel has been finalized and confirmed, you will be able to view your details through the 'Hosted Buyer Zone'.For some hosted buyers all the details may not appear until a few weeks before the show.

  • How do I get to ibtm china from the airport?

    If you arrive in Beijing during show time, you will either be transferred directly to the exhibition venue or to your hotel. Please make sure you look for the ‘ibtm china Hosted Buyer’ signage and ibtm china staff.

     

  • What is my schedule at ibtm china?

    To view your schedule at ibtm china log in to the Hosted Buyer Zone. You can print your appointment itinerary and travel information.

  • What class is my flight and can I upgrade?

    Any flights booked for you by ibtm china will be an Economy flight. The upgrade would be at your own expense. You may contact the ibtm china Hosted Buyer Team on cibtm-hosted@reedexpo.co.uk (Non Chinese Buyers) or cibtmhb@reedexpo.com.cn (Chinese Buyers) to check the cost.

  • Which hotel will I be staying and can I change the hotel?

    Your hotel information could be collected in your Hosted Buyer Zone. ibtm china allocates hotels on a rotational basis and you are not able to change it. - i.e. if you attended ibtm china last year, we will try and allocate a different hotel to the one you stayed in previously.

  • When will I receive my badge?

    Your badge can be collected at your hotel once you have checked in. For a Beijing based buyer, you can collect your badge from the Registration desk on arrival at ibtm china.  

  • What do I do if I need to cancel my attendance?

    You must provide written notice (by email to cibtm-hosted@reedexpo.co.uk (Non Chinese Buyers) or cibtmhb@reedexpo.com.cn (Chinese Buyers) prior to the cancellation deadline of 21st July 2017. Your cancellation will not be effective until you have received a written acknowledgement from ibtm china. Cancellations after this date will incur a cancellation fee.

  • Is there a cancellation fee?

    Cancellations received on or before 21st July 2017 do not incur a fee. Unless the flight has been agreed and confirmed. If the flight has been confirmed or booked on a published fare, the cost of the flight will be charged.

    Cancellations received after 21st July 2017 will incur a fee of 1200 US Dollars for International (Europe, North America) Hosted Buyers, 1000 US Dollars for Asia Pacific Hosted Buyers, 300 US Dollars for Chinese (Non Beijing) Hosted Buyers,and 30 US Dollars for Hosted Buyers based in Beijing.

    Cancellations received after 21st July 2017 will incur a fee of 400 US Dollars for international (Europe, North America, Australia, Asia) Buyers, 100 US Dollars for semi-hosted Chinese (Non Beijing) buyers.

  • What happens if I can't make it to the show at the last minute?

    If you are unable to attend ibtm china please advise us in writing prior to close of business on Wednesday 16th August 2016 of your cancellation (note you may incur cancellation fees).

    If you do not advise us in writing you will be classed as a “No Show” and will incur a fee of 1500 US Dollars for International (Europe, North America) Hosted Buyers, 1100 US Dollars for Asia Pacific Hosted Buyers, 500 US Dollars for Chinese (Non Beijing) Hosted Buyers and 50 US Dollars for Beijing Buyers. Semi Hosted Buyers, will incur a fee of 500 US Dollars for international (Europe, North America, Australia, Asia) Buyers; 150 US Dollars for Semi Hosted Chinese (Non Beijing) buyers.

    Please inform ibtm china in writing by emailing cibtm-hosted@reedexpo.co.uk (Non Chinese Buyers) or cibtmhb@reedexpo.com.cn (Chinese Buyers) as soon as possible.

  • What are "No Show" fees?

    A “No Show" is defined as a Hosted Buyer who - without giving prior written notice of cancellation by close of business on Wednesday 16th August 2017 or does not complete appointment requirements - is not present for the Hosted Buyer activities at ibtm china. 

    Please see the Hosted Buyer Terms & Conditions (click here) for further information. The “No Show” fee is 1500 US Dollars for International (Europe, North America) Hosted Buyers, 1100 US Dollars for Asia Pacific Hosted Buyers, 500 US Dollars for Chinese (Non Beijing) Hosted Buyers and 50 US Dollars for Beijing Buyers.

    Charges will be debited from the credit card details provided at registration.

  • Are there any fees to register as a Hosted Buyer?

    The only fee is the US $5 application fee used to validate your credit card. There are no other fees regarding attendance. There are fees for cancellation and no shows which apply after the cancellation date of 21st July 2017. Please be sure to read the Terms and Conditions that are part of the Hosted Buyer application. The fees are dependent on your home location and date of cancellation.

  • Why do you need my credit card details?

    All applicants for the Hosted Buyer programme are required to supply valid credit card details as part of the applications. An application fee of US$5 will be deducted and is required to validate the credit card details provided. A receipt will be provided. If you are not accepted onto the program, you must email cibtmhb@reedexpo.com.cn to request the refund.

  • Who do I contact if I have any problems or queries in the run up to the show?

    If you are travelling as part of a group, you should contact the Group Coordinator who invited you.

    If you are travelling as an Individual Buyer, then please contact the Hosted Buyer Team at cibtm-hosted@reedexpo.co.uk (Non Chinese Buyers) or cibtmhb@reedexpo.com.cn (Chinese Buyers). They will be happy to assist.
